These AI Terms apply when you use Cleared2Close features that draft, summarize, classify, recommend, analyze, generate, rewrite, or automate work with artificial intelligence.
AI Features Covered
AI features may include email drafting, writing-style profiles, AI Memo, Ask AI, Daily Brief, reviewed CRM actions, campaign drafting, borrower follow-up drafts, referral partner outreach drafts, loan pipeline summaries, report defaults, profile bios, and similar features added over time.
Third-Party AI Providers
AI prompts and relevant CRM context may be sent to third-party AI providers such as Google Gemini, OpenAI, Anthropic, xAI, or other providers selected by you, your team, or the product configuration. Those providers may process inputs and outputs under their own API, business, privacy, and retention terms.
No Sensitive Data Unless Necessary
You agree not to submit unnecessary sensitive or confidential information to AI features. Do not submit Social Security numbers, bank account numbers, payment cards, government IDs, protected health information, tax returns, wire instructions, private legal strategy, full identity documents, confidential lending files, or other highly sensitive information unless you have authority, the use is necessary, and you understand it may be processed by a third-party AI provider.
Human Review Required
AI output may be inaccurate, incomplete, outdated, biased, inappropriate, or unsuitable for a specific transaction. You must review, edit, and verify AI output before relying on it, sending it, publishing it, sharing it with a client, using it in marketing, or applying it to CRM records. Reviewed-action features are designed to help keep durable CRM changes under user control, but you remain responsible for any action you approve or configure for automation.
Lending, Marketing, and Client Content
AI-generated borrower summaries, referral partner notes, marketing drafts, pipeline commentary, and follow-up suggestions are workflow aids only. They are not loan approvals, underwriting decisions, credit decisions, compliance determinations, legal advice, tax advice, insurance advice, or a substitute for licensed professional judgment. You must verify facts, borrower context, citations, calculations, and compliance language before sharing.
Fair Housing and Prohibited AI Use
You may not use AI features to discriminate, steer, exclude, target, or make decisions based on protected characteristics, or to generate unlawful housing, lending, employment, harassment, or deceptive content. You are responsible for reviewing AI output for fair-lending, fair-housing, advertising, and professional compliance.
Training and Data Use
We do not use customer pipeline, contact, report, document, or workspace content to train Cleared2Close's own generalized AI models. Third-party AI providers may have their own rules for API data use, abuse monitoring, and retention. Where provider controls are available, Cleared2Close is intended to use business/API configurations appropriate for customer data processing.
AI Limits and Availability
AI features may be limited by plan, provider availability, model changes, rate limits, usage caps, cost controls, safety filters, or temporary provider outages. We may change model options, defaults, prompts, or workflows to improve reliability, safety, cost, or quality.
